All food items should be appropriate to the theme. San Diego Ho olaule a reserves the right to refund booth fees to any vendor whose menu or décor is deemed inappropriate for the event by event organizers. We ask that all displays and food be appropriate for all age groups and a family environment. There will be no duplication of menu s or food items. Menu s will be reviewed and granted on a First Come First Served Basis by Event Organizers. BOOTH SPACE RENTAL Booth space 10x30. Only booth space is provided. No chairs or tables are provided. Electrical power will be provided to each food booth. DUE TO LIMITED POWER AVAILABILITY NO REFIRGERATORS/ FREEZERS WILL BE ALLOWED: The spaces are for two days. Menu you are intending to sell: No Duplications of Menu, all disputes will be settled by the Organizer SET UP/BREAKDOWN/EVENT HOURS There will be Friday Set up starting at 2pm on May 4th, 2018. Tear down will be Saturday and or Sunday no earlier than 3pm and no later than 7pm. The Hawaiian Cultural Festival will run from 9:00 a.m. to 6pm on Saturday May 5th, 2018 & 10am to 5pm Sunday May 6th, 2018. For unloading and set up, vehicles will be allowed in the staging area on Saturday and Sunday morning from 6:00 a.m. 9:00am. NO VEHICLES ARE ALLOWED ON THE PARK/EVENT GROUNDS. VEHICLES ARE ONLY ALLOWED IN THE DESIGNATED PARKING SPACES. No vehicles will be allowed inside the venue at any time. We ask for your cooperation during these congested times. Friday setup will be provided to you with your letter of acceptance as a vendor of The San Diego Ho olaule a. All Booths MAY be left set up overnight and vendors should secure merchandise within their booths. Event personnel will be on site from 6:00am-8:00pm. There will be night security although the San Diego Ho olaule a assumes no liability for any lost, stolen or damaged merchandise. CLEAN UP The cleanup of the booth and surrounding area is the responsibility of the vendor. Area must be cleaned immediately upon closing. REMINDER San Diego Ho olaule a will provide your first 10x10 with mesh covered front with two (2) windows, depending on where you are located you will be responsible for your side mesh, which may consist of one, two or all three other sides, and you will also be responsible for your own hand washing facility in your both. We ask that you know the rules of food handling before you come as to avoid being shut down by the health inspectors for noncompliance. Total space is 10x30 Enclosed we have attached the San Diego County TEMPORARY FOOD FACILITY PERMIT INSTRUCTIONS TO FOOD VENDORS for you convenience and information. We will be providing your utensils washing sink with hot water heater and water tanks, This is not a hand washing sink also please remember we have NO running water and must have water brought in at our expense for your convenience so we ask that you use it sparingly, we will have 1000 gallons to use for all our vendors for the weekend, with a waste water tank that will hold 500 gallons per day, If we run out of water or have to pump our tank next year s prices will go up drastically. These sinks Do Not have garbage Disposals so PLEASE!! Empty your rice, and other foods in the trash cans provided and NOT down the sinks. Please submit your entire menu and a copy of your 501c3 paperwork to me with this application no later than March 15, 2018 so I can prepare my Organizers paperwork I need for the San Diego County Health Dept. for approval process of our event Permit. Please send your Health permit fee of $173.00 (Subject to change without notice per SDCHD) and TFF with menu and Non profit paperwork if applicable to the info on your TFF application. Please don t be late!! A delay may cause the permits not to be issued by event date. For late Permit apps.( Within 7 to 14 days of event) the County may fine you a $75.00 late fee. San Diego Ho olaule a Vender Guidelines San Diego Ho'olaule'a Vender Guidelines APPLIES TO ALL VENDORS Crafts and Food It is the responsibility of all vendors to adhere to these guidelines. Failure to do so will result in a vendor being evicted from the San Diego Ho'olaule'a site without refund. Park grounds open at 6:00am. No vehicles are allowed on the grass/ Red Curb or no parking zones at any time. Need to be set up by 9:00am. There is ample parking on 1st come, 1st served basis. The City of San Diego doesn't allow reserved parking for ANYONE. FIRE EXTINGUISHERS A MUST FOR ALL VENDORS SD FIRE CODE. All venders shall have a current fully charged fire extinguisher in their immediate booth area, in plain sight and easily accessible. No extinguisher no vending NO EXCEPTIONS!! City Fire Requirements. PORTABLE GENERATORS Generators are Not Permitted! We provide power for our food vendors. If power is needed in your booth we will provide it at a cost of $50.00 for the weekend. You will need your own cords and we need prior request at time of application so we can plan accordingly for power usage. MUSIC IN TENTS Although we recommend against music in your booths, if you feel the need, the sound cannot exceed your booth area and may not cause a distraction to anyone!! Event staff can ask to shut down your music at any time if deemed so!!!
SELLERS PERMIT All venders are required to have a valid/active seller's permit issued by the State of California Board of Equalization. A copy of the permit must be posted in the booth area in plain view for inspection by event staff and State Board of Equalization. Venders will not be allowed to sell in a boutique booth without a permit and current Liability insurance. Apply for a permit at www.boe.ca.gov-it's easy to do. COOKING Cooking in the boutique area is NOT PERMITTED AT ANY TIME. MERCHANDISE SALES The sale of ANY food items in boutique area such as cookies, candy lies, seeds, etc... are PERMITTED but must be sealed, packaged and must have distribution label attached or proof of purchase. Absolutely NO homemade Food products will be allowed in the boutique booths. Vendors with such items must carry proper permits from the San Diego County Health Dept. The sale of inappropriate merchandise, i.e. Nude calendars is not allowed. All merchandise sold in a boutique booth must be listed on the vender application form. BOOTH SPACE All vender merchandise must be kept within their allotted space, extending outside the booth area IS NOT ALLOWED. SMOKING Smoking IS NOT PERMITTED IN ANY BOOTH OR THE ENTIRE PARK per City Of San Diego ordinance. TABLES, CHAIRS All venders will provide their own tables and chairs along with all other equipment needed to operate your booth. If you need Tables and Chairs they are available at an added cost, via service vendor TBA. BOOTH BANNERS Promotional banners are allowed. Samples: No Food Samples can be distributed at anytime out side the food vendors area.
SANITATION All venders are required to keep their booth and the area surrounding their booth clean and free of trash and flammable material at all times. OPPORTUNITY DRAWING PRIZE All venders will be asked to donate a gift to the San Diego Ho'olaule'a opportunity drawing per the vendors application. Please kokua. Food Vendors need not participate unless you wish, If so please do so with a gift coupon. Loading and Unloading: ABSOLUTLY NO VEHICLES ARE ALLOWED ON THE GRASS AT ANY TIME, WE WILL DO OUR BEST TO HAVE HELP FOR LOADING AND UNLOADING. BUT NOT A GUARANTEED THING! Guarantee: We only Guarantee that the Spirit of Aloha will flow freely throughout the San Diego Ho olaule a. Booth inspections will be conducted throughout the event by the Event Staff.
